2. Accessing and delivering the website
Accessing a website involves the processing of technically necessary connection data. This includes, in particular, your IP address, the pages and files requested, access time, browser and device information and, where applicable, the previously visited page. This serves to deliver content, analyse errors and prevent misuse. The legal basis is our legitimate interest in a secure and reliable website under Article 6(1)(f) GDPR.
This website is hosted by STRATO GmbH, Otto-Ostrowski-Straße 7, 10249 Berlin, Germany. STRATO processes the technical access data required to deliver the website and operate it securely. Further provider information is available in the STRATO privacy notice. Retention of technical logs depends on the hosting features used, security purposes and legal obligations.
3. Contact and service enquiries
When you contact us by email or telephone, we process your contact details and the content of your enquiry to respond to your request. Depending on the enquiry, this may include company name, name, email address, telephone number, collection and delivery addresses, dates, goods information and transport, storage or fulfilment requirements.
Article 6(1)(b) GDPR applies to preparing or performing a contract with you. For other enquiries, such as those from a company’s contact person, the basis is Article 6(1)(f) GDPR; our legitimate interest is handling business communications. We fulfil legal obligations on the basis of Article 6(1)(c) GDPR.
How the enquiry forms work
When you select “Send enquiry”, the details entered and selected attachments are transmitted over an encrypted connection to our web server. The server passes the message to the email service for kontaktanfrage@rtc-spedition.de. Applications can also be submitted this way. Technical acceptance by the email service does not establish delivery to the recipient’s inbox.
Attachments are temporarily placed in a directory that is not publicly accessible and deleted by the form code after the sending attempt. The form does not keep a permanent copy of the enquiry in the WordPress database or media library. The purposes and retention criteria described below apply to received emails.
To protect against abusive enquiries, a keyed hash of the IP address and an attempt counter are stored for up to ten minutes after the last permitted attempt. The form code does not store the IP address in plain text. This serves our legitimate interest in secure website operation. “Copy enquiry text” allows you to copy the text to your device’s clipboard and send it by email yourself.
Name, valid email address and message are required. Attachments and other details are optional. You can also contact us by telephone or email.
4. Job applications
For applications, we process the contact details you provide, information about your experience, desired role and work location, and any qualifications and application documents. This serves to decide on establishing an employment relationship under section 26(1) of the German Federal Data Protection Act (BDSG). The application form uses the direct submission process described above. Received applications are accessible to those involved in the selection process.
Retention depends on the duration of the selection process and any necessary defence or enforcement of legal claims. If you are hired, the information required for the employment relationship will continue to be processed. Inclusion in a candidate pool beyond this requires a separate legal basis, in particular your consent.
5. Recipients and retention periods
The employees responsible receive access to the information needed to handle incoming enquiries. Technical service providers may process data when providing hosting, email and IT systems. Where necessary for requested or commissioned transport or storage services, the required information may be shared with the transport or logistics partners involved. Disclosures required by law, for example to authorities, remain unaffected.
We retain personal data for as long as it is required for the relevant purpose. The determining criteria are handling the enquiry, performing a contract, statutory retention obligations and the need to establish or defend legal claims. Once these grounds no longer apply, the data must be deleted. For technical data processed by the hosting platform, the information in section 2 also applies.
6. Cookies, content and external links
The website code provided by RTC contains no analytics or advertising trackers, social media plugins, embedded videos, Google reCAPTCHA or externally loaded fonts. The code itself does not set cookies or use local browser storage to recognise visitors. Technical processing by the hosting platform is separate from this; see section 2.
Images and design assets are delivered with this website. The price calculator and existing legal notice on rtc.berlin are provided as links. The linked page is only accessed when you open the link. This notice describes the website provided here; additional features on linked pages are subject to the privacy information available there.
Necessary session cookies are used for WordPress sign-in and administration.
7. Your rights
Subject to the statutory conditions, you have rights of access, rectification, erasure, restriction of processing and data portability (Articles 15–20 GDPR). You may withdraw consent at any time with effect for the future. This does not affect the lawfulness of processing carried out before withdrawal.
Right to object
Where processing is based on Article 6(1)(f) GDPR, you may object on grounds relating to your particular situation. We will then stop processing the data concerned unless compelling legitimate grounds override your interests or processing is required to establish, exercise or defend legal claims. You may object to processing for direct marketing at any time without giving such grounds.
You may lodge a complaint with a data protection supervisory authority, particularly in your place of residence, workplace or the location of the alleged infringement.
